QUEENS PRIVACY POLICY
Date last modified: [21/06/2026]
Queens Motors Pty Ltd ABN 27 626 024 155 ("QUEENS", "we", "us" or "our") respects your privacy and is committed to handling personal information responsibly.
This Privacy Policy explains how we collect, hold, use and disclose personal information when you visit the QUEENS website, contact us, request a demonstration, interact with QUEENS products and services, or communicate through services operated by QUEENS on behalf of a dealership.
We aim to handle personal information consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to us.
1. Information we may collect
QUEENS may handle Personal Information relating to two main groups:
dealership personnel and other business users who interact directly with QUEENS; and
customers of dealerships using QUEENS, whose information may be provided to QUEENS by the relevant dealership or processed through dealership-authorised systems.
The type of information we collect or process depends on the person's relationship with QUEENS and the relevant dealership.
The kinds of personal information we may collect or hold include:
your name;
business or dealership name;
position or role;
work email address;
mobile or telephone number;
information you provide in an enquiry or message;
communications between you and QUEENS; and
technical information relating to your use of our website, such as IP address, browser type, device information and website activity where analytics services are used.
When QUEENS services are supplied to dealerships, we may also collect or process information provided by, or made available through systems authorised by, the dealership.
This may include:
customer name;
customer mobile or telephone number;
vehicle registration number;
vehicle make, model, variant and year; and
other vehicle or customer information reasonably required to provide the QUEENS service.
Where a dealership communicates with a customer through QUEENS, we may also process information associated with those communications, including:
message content;
messages sent and received;
customer replies;
message delivery or delivery-status information;
STOP or unsubscribe requests;
suppression status; and
other communication-preference information reasonably necessary to operate the messaging service.
The exact information collected will be listed in the applicable Order Form and will depend on the dealership's configuration, the systems it has authorised QUEENS to access and the QUEENS services being used.
QUEENS does not seek to collect more personal information than is reasonably necessary to provide its services.
You are not generally required to provide personal information to browse the QUEENS website. However, if information requested for a demonstration, enquiry or QUEENS service is not provided, we may not be able to respond to the enquiry or provide some or all of the relevant service.
2. How we collect information
We may collect personal information:
directly from you when you contact us;
through forms on our website;
when you book or attend a demonstration;
through email, telephone, video meeting or other communications;
from a dealership or dealer group using QUEENS;
from dealership systems authorised by the dealership;
through SMS, messaging or communications providers used in connection with the QUEENS service;
from service providers used to provide the QUEENS services;
through third-party systems that a dealership has authorised QUEENS to connect with or exchange information with; and
automatically through website analytics and similar technologies.
Where practical and appropriate to the circumstances, we collect personal information directly from individuals.
However, the nature of the QUEENS service means we may also receive personal information from dealerships and from dealership systems authorised by those dealerships.
Where QUEENS receives information from a dealership or an authorised dealership system, the dealership remains responsible for its own legal obligations relating to the collection, use and disclosure of that information, while QUEENS remains responsible for its own obligations in relation to personal information that it collects, holds, uses or discloses.
3. Why we collect and use information
We may use personal information to:
respond to enquiries;
arrange and conduct product demonstrations;
communicate with prospective and existing customers;
provide and operate QUEENS products and services;
support dealerships using QUEENS;
administer customer and commercial relationships;
provide vehicle-related, customer-engagement and dealership workflow services;
support authorised dealership business processes;
provide vehicle information, valuations and related functionality requested by dealerships;
facilitate communications authorised by dealerships using QUEENS;
process and maintain communication preferences, opt-outs and unsubscribe requests;
operate authorised integrations with dealership and third-party systems;
verify identity where appropriate;
investigate suspected unauthorised access or misuse;
detect, investigate, prevent and respond to fraud or security incidents;
improve our website, systems and products;
maintain security and prevent misuse;
comply with legal and regulatory obligations; and
send business communications where permitted by law.
We will not use personal information for an unrelated purpose unless permitted or required by law.
4. Dealership and vehicle information
Where QUEENS provides services to a dealership, we may process Personal Information and vehicle information supplied by the dealership or made available through systems the dealership has authorised QUEENS to access.
We use that information as reasonably necessary to provide the services requested by the dealership, including:
vehicle-related services;
valuations;
communications;
reporting; and
authorised dealership workflows.
The particular information processed and functionality used depends on the services selected by the dealership.
Where communications take place through the QUEENS service, QUEENS may process the content of those communications and related information such as replies, delivery status, STOP requests and suppression status.
Where a dealership provides Personal Information to QUEENS or authorises QUEENS to access dealership systems, the dealership remains responsible for its own legal obligations relating to its collection, use and disclosure of customer information.
QUEENS remains responsible for its own obligations in relation to Personal Information that it collects, holds, uses or discloses.
5. Automated processing
QUEENS may use software and automated processes to process vehicle information, support valuations and provide functionality requested by dealerships.
Automated processing is intended to assist authorised dealership personnel rather than replace appropriate human review of commercial decisions.
Where required by applicable privacy law, we will provide appropriate information about automated processing that uses Personal Information and may significantly affect an individual's rights or interests.
6. Disclosure of information
We may disclose Personal Information to third parties where reasonably necessary to operate, maintain or support QUEENS, including:
cloud infrastructure and hosting providers;
vehicle and automotive information providers;
SMS, messaging and communications providers, where used to facilitate communications through the QUEENS service;
third-party platforms or systems that a dealership has authorised QUEENS to integrate with;
technical and support service providers;
professional advisers, including solicitors, accountants, auditors, consultants and business advisers;
insurers and insurance advisers where reasonably necessary;
a purchaser, successor or other relevant party in connection with an actual or proposed merger, acquisition, corporate restructure, financing or sale of all or part of the QUEENS business, subject to appropriate confidentiality and privacy protections; and
law enforcement agencies, regulators, courts or government authorities where required or authorised by law.
Where QUEENS facilitates communications on behalf of a dealership, we may provide the relevant communications provider with information reasonably necessary to transmit, receive or manage those communications. This may include a recipient's name, mobile telephone number and message content.
Communications providers may also provide QUEENS with information relating to:
message delivery and delivery status;
incoming replies;
STOP or other opt-out requests;
unsubscribe status; and
other messaging preferences or technical information reasonably necessary to operate the messaging service.
Where a dealership authorises QUEENS to connect with or exchange information with a third-party platform or integration, we may disclose or receive Personal Information to the extent reasonably necessary to operate that integration.
Third-party providers may only receive the information reasonably required for the function or service they provide.
QUEENS does not sell Personal Information to data brokers.
7. Service providers and subprocessors
QUEENS uses third-party service providers to support the operation of its products and services.
These may include providers involved in:
cloud hosting;
vehicle and market information;
SMS and communications;
system integrations;
technical support;
security;
business administration; and
other infrastructure required to provide the QUEENS service.
QUEENS may maintain information about material service providers and subprocessors used to support the Services.
Information about relevant providers may be made available on request or through the QUEENS website where appropriate.
QUEENS may add, replace or remove service providers from time to time as our systems, products and operational requirements change.
Where a change materially affects how Personal Information is handled, we may update this Privacy Policy or other relevant privacy documentation.
8. Data hosting and overseas disclosure
QUEENS is designed so that its core platform services and primary data storage are hosted in Australia.
We use cloud infrastructure and other technology providers to operate, maintain and support the QUEENS platform.
Although our primary hosting environment is located in Australia, some service providers, support personnel, subcontractors or integrated third-party services may operate from, or have access from, locations outside Australia.
This may include communications or technology providers used to support the QUEENS service.
Where Personal Information is likely to be disclosed to an overseas recipient, QUEENS will take reasonable steps required by applicable Australian privacy law.
Where practicable and required, we will identify in this Privacy Policy, or associated privacy documentation, the countries or regions in which relevant overseas recipients are likely to be located.
We periodically review our service providers and data-handling arrangements and may update this Privacy Policy where our hosting or overseas disclosure practices materially change.
9. Data security
We take reasonable steps to protect Personal Information from misuse, interference, loss and unauthorised access, modification or disclosure.
QUEENS uses reasonable technical and organisational safeguards appropriate to the nature of the information we hold, including:
access controls;
authentication and security measures;
secure systems and infrastructure;
data-protection procedures;
backup and recovery measures where appropriate; and
controls governing access by personnel and service providers.
We may also use Personal Information where reasonably necessary to:
verify user identity;
investigate suspected unauthorised access;
detect or investigate suspected fraud;
investigate misuse of QUEENS accounts or services; and
respond to security incidents.
Access to dealership and customer information is limited to persons and systems that reasonably require access to provide, maintain, support or secure the QUEENS service.
No internet-based or cloud-based system can guarantee absolute security.
10. Data retention
We retain Personal Information only for as long as reasonably necessary for:
providing QUEENS services;
maintaining customer and commercial relationships;
supporting dealership workflows;
meeting contractual requirements;
resolving disputes;
maintaining appropriate business records;
maintaining suppression or unsubscribe records where reasonably necessary; and
complying with legal and regulatory obligations.
Where Personal Information is no longer required, we will take reasonable steps to delete, destroy or de-identify it where appropriate.
Retention periods may vary depending on the nature of the information, the services being provided and contractual or legal requirements.
Where an agreement between QUEENS and a Dealer ends, the Dealer may instruct QUEENS, in relation to Personal Information supplied by or on behalf of that Dealer, to:
return or make available an agreed export of the information where reasonably practicable;
delete the information; or
de-identify the information,
subject to applicable law, technical limitations and any information QUEENS reasonably needs to retain for a lawful purpose.
11. Access and correction
You may request access to Personal Information we hold about you or ask us to correct information that you believe is inaccurate, incomplete, out of date or misleading.
To make a request, contact:
QUEENS
Queens Motors Pty Ltd
Email: info@thisisqueens.com.au
We may need to verify your identity before responding to a request.
In some circumstances, applicable law may permit or require us to refuse access or correction. Where appropriate, we will explain the reason for doing so.
12. Privacy complaints
If you believe we have mishandled your Personal Information, please contact us using the details above.
Please provide enough information for us to understand and investigate your concern.
We will review the complaint and respond within a reasonable period.
If you are not satisfied with our response and the Privacy Act applies to the matter, you may be able to make a complaint to the Office of the Australian Information Commissioner (OAIC).
13. Marketing communications, dealership messages and opt-outs
QUEENS may send its own business or marketing communications where permitted by law.
Where required by law, we will obtain appropriate consent before sending Commercial Electronic Messages.
Our own marketing communications will identify the sender and provide a way to unsubscribe.
You may ask us to stop sending QUEENS marketing communications at any time.
Communications sent for dealerships
QUEENS may facilitate SMS or other electronic communications sent by or on behalf of dealerships using the QUEENS service.
These communications may relate to dealership customers and may be initiated or authorised by the relevant dealership as part of its use of QUEENS.
Depending on the nature of the message and circumstances in which it is sent, the relevant dealership may be the business responsible for the communication.
Dealerships using QUEENS remain responsible for their own obligations relating to the consent or other lawful authority required to communicate with their customers.
QUEENS may use third-party communications providers to transmit and manage dealership communications.
Those providers may operate their own technical mechanisms for receiving and processing STOP, unsubscribe and other opt-out requests.
STOP and unsubscribe requests
Where a recipient uses a supported unsubscribe method, including by replying STOP where that functionality is available, QUEENS and/or the relevant communications provider may record and process the request.
Depending on the messaging provider and configuration used, an opt-out request may result in:
the recipient being added to an opt-out or suppression list;
future applicable messages being blocked by the communications provider;
the recipient's communication status being updated within QUEENS;
the relevant dealership being notified of the opt-out; and/or
other reasonable technical measures being taken to prevent further applicable communications.
QUEENS may retain a record of a recipient's mobile number and opt-out or suppression status where reasonably necessary to ensure that the recipient's communication preference continues to be respected.
A record retained for suppression purposes is not intended to be used to send further marketing communications.
Where QUEENS becomes aware that a recipient has validly opted out of applicable commercial communications, QUEENS will take reasonable steps within its control to prevent further applicable communications from being sent through the QUEENS service.
Provider-level opt-outs
A communications provider may maintain its own opt-out or suppression list independently of QUEENS.
As a result, a provider may block a message from being sent even where the recipient continues to appear in a dealership's or QUEENS' records.
QUEENS may synchronise or otherwise process opt-out information between the QUEENS platform, the relevant dealership and communications providers where reasonably necessary to maintain accurate communication preferences.
Non-marketing communications
An unsubscribe from marketing or promotional communications does not necessarily prevent communications that are not Commercial Electronic Messages or that are otherwise permitted by law, including communications reasonably necessary to:
respond to a communication initiated by the individual;
provide an existing service;
administer an existing business relationship; or
comply with a legal obligation.
14. Website analytics and similar technologies
QUEENS may use analytics and similar technologies to understand how visitors use our website and to improve website performance and user experience.
Depending on the technologies used, information collected may include:
IP address;
browser and device information;
pages visited;
referral information;
interaction with website features; and
approximate usage information.
Where third-party analytics providers are used, those providers may process information in accordance with their own privacy practices.
If QUEENS introduces advertising pixels, behavioural tracking, remarketing technology or other materially different tracking technologies, this Privacy Policy may be updated to describe those practices.
15. Third-party websites and services
Our website or platform may link to or interact with third-party websites, platforms or services.
Those third parties may have their own privacy practices and policies.
QUEENS is not responsible for the privacy practices of independent third-party websites or services.
Where a dealership expressly authorises an integration between QUEENS and a third-party service, information may be exchanged between those services as reasonably necessary to operate the integration.
We encourage users to review the privacy policies of relevant third parties before providing Personal Information to them or authorising an integration.
16. Business changes
If QUEENS undergoes or considers a corporate transaction such as:
a merger;
acquisition;
corporate restructure;
financing;
sale of all or part of the business; or
transfer of relevant business assets,
Personal Information may be disclosed to prospective or actual purchasers, investors, professional advisers, financiers or successors where reasonably necessary in connection with that transaction.
Where practicable, we will take reasonable steps to ensure that information disclosed for these purposes is subject to appropriate confidentiality and privacy protections.
If ownership or control of the QUEENS business changes, Personal Information may be transferred to the successor entity as part of the relevant business assets, subject to applicable law.
QUEENS must notify the Dealer of such considerations.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes to:
our business;
our products and services;
our technology;
our service providers;
our data-handling practices; or
applicable legal and regulatory requirements.
The current version will be published on our website together with the date of the latest update.
Material changes may also be communicated through other reasonable channels where appropriate.
